This position performs a wide variety of operational, administrative, and project coordination tasks to support departmental projects and initiatives. This position supports multiple functional areas across the department and is responsible for coordinating activities, maintaining records and documentation, tracking data, preparing reports, and supporting day-to-day departmental operations.DUTIES & RESPONSIBILITIES:
Project and Operational Support
- Performs a variety of complex project coordination and operational support duties for the department by coordinating, organizing, prioritizing, completing and/or delegating work, and making decisions when appropriate and within established guidelines and policy.
- Provides requested information for operational and technical reports by researching departmental files and records; recording, retrieving data, compiling data/statistics and organizing and presenting information in professional format, which may include tables, charts and graphs.
- Collects, reviews, analyzes, and maintains project and departmental data to support project tracking, reporting, and operational decision-making. Administers and maintains the database management system and/or programs used in the department.
- Lead project coordination and administrative support functions to include: calendar scheduling, correspondence, travel coordination, filing, presentations, agendas, meeting minutes, and other activities supporting projects and department leadership.
- Serves as project and department liaison and represents the department leadership on various issues with internal and external stakeholders.
- Coordinates and maintains document control system for assigned area, ensuring the proper documents are created and signed, that all data is accurate and that documents are stored and backed up and any retention policies are followed.
- Assists leadership with development and monitoring of assigned budgets.

QUALIFICATIONS:
Required Qualification:
- High school diploma or GED
- A minimum of four (4) years of progressively responsible administrative, business support, project coordination, or related experience supporting managers or project teams.
Preferred Qualifications:
- Experience working in a public sector, transportation, or highly regulated environment.
OR:
An equivalent combination of education, experience, knowledge, skills, and abilities.
Key Competencies & Characteristics:
- Ability to coordinate multiple projects, assignments, and competing priorities simultaneously.
- Knowledge of budget development, tracking, and reporting practices.
- Ability to compile, organize, and present information in a clear, accurate, and professional format through reports, presentations, correspondence, and other business documents.
- Ability to manage time and workload effectively which includes coordinating, planning, organizing, and prioritizing with attention to details.
- Strong technical aptitude, including proficiency with Microsoft Office Suite.
- Ability to use sound judgment and maintain confidentiality.
- Strong written and verbal communication skills, including the ability to communicate specialized information effectively to diverse audiences.
- Ability to build and maintain strong working relationships and collaborate effectively across internal and external stakeholders.

Pay Range:
