Torch Technologies Inc., is seeking a detail-oriented Document Digitization Specialist to complete a dedicated, short-term records conversion project. The successful candidate will be responsible for scanning, quality-verifying, digitally storing, and properly destroying classified paper records currently housed across five 4-drawer GSA-approved security containers.
This is a Part-time, temporary on call position that will conclude automatically upon the successful conversion and disposition of all targeted files.
Key Details & Work Conditions:
- Role Type: Part-Time / Temporary On Call (Project-Based).
- Duration: Project-based (Ends upon project completion).
- Schedule: Flexible part-time hours within standard business operations.
- Work Location: On-site only (Secure Facility).
- Security Clearance: Active Secret Clearance required prior to start date.
Key Responsibilities:
- Document Scanning: Retrieve paper files from GSA-approved safes and scan documents into designated digital formats following exact file naming, folder structure, and metadata protocols.
- Quality Assurance (QA): Perform 100% visual and structural quality checks on all scanned images to ensure legibility, correct orientation, completeness, and lack of cut-off text or missing pages.
- Secure Storage: Upload and catalog verified digital files directly onto designated classified file servers or document management repositories in compliance with internal taxonomy and access controls.
- Document Disposition & Destruction: Safely prepare and execute the destruction of hard-copy documents in full compliance with federal standards following digital confirmation.
- Chain of Custody & Accountability: Maintain accurate project logs recording file inventory, daily scanning counts, verification logs, and destruction certificates.
- Safe Handling: Ensure GSA-approved containers remain secured according to security standards whenever unattended.
Required Qualifications & Experience:
- Citizenship: US Citizenship.
- Experience: 1+ years of experience in document management, digital scanning operations, data entry, or secure records management. High School Diploma or equivalent. A minimum of 3 years clerical experience with at least 3years in a government security environment.
- Technical Skills: Familiarity with high-volume production scanners, optical character recognition (OCR) software, standard file naming conventions, and secure network file structures.
- Security Protocol: Proven understanding of handling, marking, storing, and disposing of classified/sensitive paper and electronic records.
- Attention to Detail: High precision in verifying document accuracy, page counts, and image clarity.
- Physical Requirements: Ability to lift up to 25 lbs (file boxes/binders), perform repetitive motions (scanning/feeding pages), and stand/sit for extended periods.
- Clearance: Active Secret Security Clearance.
Preferred Qualifications:
- Prior experience working inside a SCIF or secure area.
- Knowledge of NARA (National Archives and Records Administration) or DoD document destruction guidelines.
- Experience operating heavy-duty industrial or cross-cut document shredders.
Note on Security & Logistics: Because this role involves direct physical access to classified documents and GSA security containers, remote work or telework is not permitted. All tasks must be completed entirely within the physical secure area.
Schedule: Part-Time Temporary on call.
