As a key player in communications operations, you will play a pivotal role in optimizing internal communications, ensuring critical messages resonate across the organization, and empowering a team of Communications Business Partners to perform at their very best. Your contributions will directly enhance the effectiveness and reach of internal communications, ensuring critical messages resonate across the organization and driving the mission forward. This central and highly visible role is designed for someone who thrives on keeping teams connected, organized, and running efficiently, making a tangible impact on how critical information shapes the organization’s success.
What You’ll Do
- Drive Team Operations: Coordinate the day-to-day activities for a team of Communications Business Partners, ensuring priorities are met, project timelines are maintained, and deliverables remain on track.
- Lead Event & Engagement Logistics: Plan and execute the logistical aspects for a variety of internal engagement initiatives, including town halls, leader office hours, coffee chats, and functional events, working closely with administrative and events teams.
- Manage Calendars & Milestones: Maintain and optimize core team calendars, strategically aligning key leadership engagements, critical communications moments, and project milestones, while proactively resolving any scheduling conflicts.
- Oversee Channels & Intake: Manage shared mailboxes and communication channels, efficiently triaging incoming requests, providing timely responses, and escalating issues as appropriate to ensure smooth operations.
- Establish & Scale Workflows: Create, update, and standardize Standard Operating Procedures (SOPs), templates, and essential documentation. Build and maintain robust team knowledge management norms, structuring shared drives for easy access to up-to-date information.
- Cross-Functional Collaboration: Partner effectively with communications colleagues, administrative staff, event management, and operational teams across the organization to ensure seamless execution of all initiatives.
- Optimize Operational Processes: Continuously identify and implement opportunities to simplify workflows, eliminate friction points, and significantly enhance overall team productivity and efficiency.
What You’ll Bring
Must-Have Qualifications
- Experience: 5–8 years of experience in corporate operations, creative operations, program coordination, or administrative support roles. Experience supporting internal communications or marketing teams is highly desirable.
- Education & Skills: Bachelor’s degree or equivalent practical experience. Demonstrated strong ability to manage complex, multi-track projects in a fast-paced environment.
- Technical Proficiency: Proficient in Google Workspace (Docs, Sheets, Slides, Calendar, Gmail) and experienced with modern work management and project tracking platforms.
- Communication & Collaboration: Excellent written and verbal communication skills with strong interpersonal capabilities, enabling you to build effective relationships across diverse cross-functional teams.
- Mindset: Meticulous attention to detail combined with a proactive, solutions-oriented approach to problem-solving.
Nice-to-Have Skills
- Familiarity with basic graphic design principles or visual tools.
