About the Role: Responsible for day-to-day operations of a department or function, and direct support of one or more key leaders of the group, to ensure the orderly and efficient management of the department/function. Performs a variety of complex and highly confidential administrative, facilitation of staffing operations, analytical, and project coordination duties. Working with internal and external constituents.
Responsibilities
Administrative & Clerical Support
- Provide administrative support to the Central Services and Development team, exercising discretion and independent judgment to ensure efficient office operations.
- Draft standard correspondence, letters, and other communications as needed.
- Research, gather, interpret, and maintain data used to develop correspondence and reports.
- Proofread documents for accuracy, formatting, punctuation, spelling, grammar, nomenclature, and completeness.
- Provide general administrative support to the philanthropy team, including meeting notes, travel arrangements, scheduling, and internal requests.
Event & Committee Support
- Partner with the Data team to pull and organize invitation and event communication lists for review and submission to internal and external mail house partners.
- Schedule and coordinate fundraiser committee meetings, including invitations, calendars, meeting space, technology, and other logistics.
- Manage RSVPs, attendance, and member communications for committee meetings.
- Prepare meeting materials, including agendas, packets, presentations, and handouts.
- Support fundraising event logistics, including vendor coordination, volunteer management, and day-of event support.
- Track event details, planning timelines, and key deliverables.
- Coordinate donor and sponsor deliverables associated with events and fundraising campaigns.
Donor Relations & Reporting
- Maintain accurate and up-to-date donor and prospect information in NXT, ensuring data integrity.
- Assist with the preparation and scheduling of donor reports, gift summaries, and event impact reports.
- Support the fulfillment of donor benefits, recognition, and stewardship obligations.
- Maintain calendars and reminders for key donor cultivation and stewardship milestones.
- Oversee lists, mailings, and tracking associated with fundraising appeals and event invitations.
Leadership Society
- Support the management and administration of the LBH Leadership Society.
- Partner with LBH Board Advisors and co-chairs to plan and implement the annual calendar of meetings, networking events, and educational programs.
- Develop meeting agendas and member communications, including pre-meeting and post-meeting communications.
- Coordinate the planning and execution of Leadership Society education meetings and events.
- Collaborate with Board Advisors, co-chairs, and other stakeholders to identify and recruit new members.
- Partner with the AVP of Development, Director of Central Services, and LBH Board Advisors to identify appropriate program topics and recruit and prepare presenters for annual educational meetings.
- Maintain accurate records of member attendance and other information needed to support the board nomination process.

- Build and maintain strong, professional relationships with donors, colleagues, volunteers, and members of the surrounding community.
- Demonstrate a commitment to teamwork through a cooperative, collaborative, and service-oriented approach.
- Work effectively across teams to support shared goals and promote a unified philanthropy team.
- Provide cross-coverage for other administrative staff and assume related responsibilities during periods of absence.

Pay Range: $23.49 to $36.57 Based On Experience
