GENERAL STATEMENT OF JOB

The Human Resources Coordinator performs and coordinates key operational functions throughout the employee lifecycle. This position administers faculty and staff recruitment and onboarding/offboarding activities; serves as an administrator for the Human Resources Information System (HRIS); maintains the accuracy and integrity of employee data; and generates reports and analytics to support organizational needs. This is an individual contributor role that does not include supervisory or management responsibilities.

SPECIFIC DUTIES AND RESPONSIBILITIES

Essential Functions:

  1. Coordinates and administers the full recruitment cycle, including collaborating with colleagues on job postings and advertising, providing guidance and resources to search committees, ensuring compliance with applicable federal and state regulations, and facilitating new employee onboarding activities.
  2. Researches and recommends advertising opportunities and job boards using applicant tracking system data; coordinates annual recruitment advertising expenditures and related vendor activities.
  3. Reviews and updates search committee and hiring manager resources related to interviewing, hiring procedures, and job offers; prepares and generates offer letters and related employment documentation.
  4. Administers employee onboarding and offboarding processes, including coordinating pre-employment and separation activities, processing unemployment documentation, ensuring required notifications to external agencies, and collaborating with departments to verify the completion of outstanding employee-related obligations. Evaluates and recommends process improvements to enhance operational efficiency and the overall employee experience.
  5. Performs HRIS administration functions, including entering and maintaining employee data, creating and distributing reports, troubleshooting system issues, and ensuring the accuracy and consistency of HR records. Serves as the primary liaison with HRIS vendors regarding system support, contract renewals, pricing, troubleshooting, and system enhancements.
  6. Conducts recurring HRIS data audits and reviews to ensure data integrity and compliance, including part-time hiring information on electronic form submissions.
  7. Provides operational guidance, training, and support to Human Resources Assistants, student workers, and temporary staff on departmental processes and administrative procedures, as assigned, without formal supervisory authority.
  8. In coordination with the supervisor, supports compliance with applicable federal and state regulations, including records retention requirements, labor law postings, new hire disclosures, and other employment-related requirements.
  9. Provides front-line customer service and administrative support to employees, applicants, and visitors by covering front desk operations as needed during the absence of the Human Resources Assistant.
  10. Performs other duties as assigned.


MINIMUM QUALIFICATIONS

  • Associate Degree
  • Two (2) years of human resources experience
  • Excellent written, verbal, and interpersonal communication skills

PREFERRED QUALIFICATIONS

  • Bachelor’s Degree
  • Knowledge of ADP Workforce Now
  • Knowledge of federal, state, and local employment laws, and compliance topics
  • Excellent customer service, written, verbal, and interpersonal skills
  • CEBS, PHR, SPHR, or SHRM certification
  • Experience working in a Human Resources area in higher education


SUPPLEMENTAL INFORMATION

SCHEDULE : Monday – Friday 8:30 a.m. to 4:30 p.m.

RETIREMENT : Pension Eligible



Work Arrangement

Consistent with the current application of Middlesex College Policy 4.18.0, this position may be eligible for a hybrid work arrangement. Flexible work arrangements are not permanent, and are subject to change or cancellation. Further, they are contingent on the employee completing an initial probationary work period and receiving approval from his or her immediate supervisor, and may be re-evaluated after six (6) months.
