About the Role
The Administrative Assistant III provides advanced administrative, operational, and project coordination support to the Utility Marketing team. This role supports marketing, communications, research, customer experience, and operational initiatives through invoice processing, reporting, documentation management, project coordination, and cross-functional collaboration.
The ideal candidate is highly organized, detail-oriented, resourceful, and able to manage multiple priorities in a fast-paced environment. This individual serves as a trusted partner to the Utility Marketing team, helping ensure projects, programs, and day-to-day activities are executed efficiently, accurately, and on schedule.
Job Responsibilities
• Process and track invoices, monitor approval and payment status, coordinate with vendors and internal stakeholders, and ensure timely processing in accordance with company policies and procedures.
• Generate, compile, analyze, and distribute recurring and ad hoc reports using Excel, PowerPoint, Qualtrics, Wrike, and other business applications.
• Track customer feedback cases, document outcomes, monitor progress, and provide status updates to support timely resolution and stakeholder visibility.
• Support survey administration, participant incentive fulfillment, customer outreach, and research project logistics.
• Maintain records, reports, and project documentation to support departmental operations and business objectives.
• Provide administrative and operational support for Utility Marketing initiatives and special projects.
Required Skills
• Proficiency in Microsoft Office applications, including Excel, PowerPoint, Word, Outlook, and Teams.
• Excellent verbal, written, and interpersonal communication skills.
• Strong organizational, time management, and multitasking abilities.
• Demonstrated experience coordinating projects and supporting project management activities.
• Strong attention to detail, accuracy, accountability, and follow-through.
• Ability to work independently while collaborating effectively with cross-functional teams.
• Ability to handle confidential and sensitive information with discretion.
• Customer-focused mindset with a commitment to delivering high-quality service.
• Self-directed learner with a proactive approach to adopting new technologies, tools, and best practices.
Education and Experience
• High school diploma or GED required.
• 5-7 years of administrative support, project coordination, operations support, or related experience required.
• Experience supporting marketing, communications, customer experience, research, analytics, or business operations teams preferred.
• Experience with project management, reporting, customer feedback management, vendor coordination, and cross-functional collaboration preferred.
This is a hybrid role (4 days onsite, Fridays remote) in Houston, TX – only local candiates will be considered.
