We are looking for a highly organized and detail-oriented Associate Manager, Production to join our Creative team. This role will support the day-to-day management of photo and video productions from pre-production through post-production, helping ensure shoots run smoothly, timelines stay on track, and any problems are met with creative solutions.
The ideal candidate is proactive, resourceful, and excited to work behind the scenes to bring creative concepts to life. You’ll work closely with internal creative and production partners, as well as external vendors and freelance talent, supporting everything from shoot logistics, budgets, travel, and call sheets to retouching workflows and final asset distribution.
What You'll Do
Administrative work:
Laying out/updating decks for leadership reviewFacilitate NDAs and proper filing for all vendors and partners in which brand specific details are being discussedKeep track of crew statuses from pre to post-production via shoot production trackerUpdate usage calendar once shoot usages have been confirmedCreating SOP for external partners and distributing them as necessarKeeping a detailed file of all deal memos, versions, and ensuring all documents are Manage the Production Job Folders for all projects, which includes adhering to the subfolder and file naming system Ad hoc tasks as requested by your managerPre-Production:
Reach out to agents and teams to check availabilities and holds for upcoming projectsMaintaining booking trackers for each shootBooking travel and accommodationWork together with your manager to create project budgets and maintain updated numbers as projects progressManage permittingSubmit EQ and production supplies listsMaking and sending call sheetsOrganize cateringMaintain a fully stocked and organized production kit and product suitcas
On Set:
Manage a high level of professionalism and decorum at all times as an external representative of rhodeManage all PAs on setOversee set up and breakdownKeep track of crew hours and NDA signaturesManage all product including units given to makeup artists, units set aside to be photographed, and verifying all units are returned unless otherwise permittedDistribute shot lists to keys and facilitate boards for reference on setEnsure all printed/reference materials are accounted for and destroyed responsibly after wrapKeep track of products shot in situ and on modelEnsure set is as organized and presentable as possible at all timesPost-Production:
Filing and verifying invoices and receipts to budgeted costsMark up retouching notes according to the brand retouching guideOrganize rounds of retouching notes to ensure streamlined feedback and revisionsSupport on asset distribution to cross-functional partnersWhat You'll Bring
Education: A minimum of a Bachelor's degree in related fieldExperience: 3+ years of experience as a production coordinator, operations, or project management within beauty, CPG, or fashion/lifestyle industries.Organization & Detail Oriented: Proven ability to manage multiple timelines, vendors, and deliverables simultaneously with strong attention to detail.Communication Skills: Strong verbal and written communication skills to effectively coordinate across creative, operations, and external partners.Technical Knowledge: Proficiency with project management and production tracking tools (e.g., Asana) and design tools (e.g. Figma, Adobe Creative Suite)Problem-Solving: Ability to anticipate production challenges, propose proactive solutions, and adapt in a fast-paced, evolving environment.Attitude: A positive attitude with a commitment to growth through giving and receiving constructive feedback and making adjustments accordingly
Other Details for Consideration
- Location of Position: Beverly Hills, CA
- Reports to: Associate Director, Creative Production
- Hybrid Model: 3+ days a week in the office (outside of shooting weeks)
- Budgeted Salary Range: $85K-$100K
The base salary range for this role is listed above.
Total compensation includes base salary, annual company-based performance bonus, and equity. Under e.l.f.’s annual bonus program, employees are eligible to earn up to 200% of their target bonus when company performance exceeds defined goals. In addition, e.l.f. provides a variety of other benefits to employees, including medical, dental, and vision insurance, a retirement savings plan, gender neutral parental leave, and unlimited paid time off. The amount of total compensation (including base salary) offered will be based on a wide range of factors, including geographic location, experience, specific skills, and qualifications.
