Key Responsibilities
- Proactively review specialized scheduling reports and work queues within the electronic health record system to identify patients requiring pre-surgical appointments.
- Proactively contact patients by phone, scheduling appointments with a patient-centered approach, professionalism, and exceptional customer service.
- Apply established clinical and scheduling criteria to determine the most appropriate appointment type (in-person or virtual) for each patient.
- Accurately document all scheduling activities, request necessary medical records, and update patient details directly within the electronic health record system.
- Collaborate effectively with fellow schedulers, patient care coordinators, and clinical teams to optimize clinic workflows and enhance patient access to care.
- Maintain the highest standards of professional phone etiquette and customer service in all patient and team interactions.
- Strictly adhere to established clinic workflows, standard work protocols, and escalation pathways to ensure operational efficiency and patient safety.
- Ensure full compliance with all healthcare policies, organizational values, and patient care standards.
Qualifications
- High school diploma or equivalent required.
- Demonstrated background in a patient-facing or customer service-centric role.
- Proficiency with basic computer systems, including Microsoft Outlook, Word, and Teams.
- Ability to navigate scheduling reports, work queues, and documentation systems efficiently.
- Ability to quickly learn internal scheduling workflows, clinic software, and clinical criteria.
- Strong verbal communication skills and professional phone etiquette.
- Ability to follow detailed, structured scheduling criteria and standard medical workflows.
- High level of organization, attention to detail, and accuracy in documentation.
- Excellent time management skills with the ability to meet productivity expectations in a fast-paced environment.
- Reliability, professionalism, and a collaborative mindset for onsite teamwork.
Preferred Qualifications
- Previous experience in healthcare scheduling, medical call centers, or clinical administrative support.
- Experience working with electronic health record systems.
- Prior experience in a fast-paced clinical setting with high-volume scheduling.
- Practical knowledge of electronic health record systems.
- Familiarity with pre-surgical clinic workflows.
- Experience in high-volume healthcare call center environments.
- Bilingual communication skills are a plus.
