We are seeking a highly organized Project Administrator / Project Assistant to support our commercial construction team. This individual will work closely with Project Managers and field teams to ensure projects remain organized, compliant, and on schedule from preconstruction through project closeout.

The ideal candidate will have experience supporting construction projects, managing project documentation, coordinating subcontractor communications, assisting with billing processes, and maintaining critical project records.

Job Details

Qualifications:

• 2+ years of experience in a Project Coordinator, Project Administrator, Project Assistant, Construction Administrator, or similar role
• Experience supporting commercial construction projects preferred
• Understanding of construction processes, documentation, and project workflows
• Familiarity with project billing, job cost reporting, and construction accounting concepts
• Strong proficiency with Microsoft Office, particularly Excel
• Experience with construction software such as Procore, Sage, DocuSign, or similar platforms preferred
• Ability to manage multiple priorities in a fast-paced environment
• Team-oriented mindset with a proactive approach to problem-solving

Preferred Experience:

• Commercial construction industry experience
• Exposure to AIA billing and G702/G703 forms
• Experience supporting multiple Project Managers and active projects simultaneously
• Knowledge of job cost tracking and project financial reporting

Responsibilities:

Project Documentation & Administrative Support:

• Maintain and organize project documentation throughout the lifecycle of multiple construction projects
• Coordinate and distribute drawings, specifications, permits, project correspondence, and related documents
• Track document revisions and maintain accurate project logs
• Archive project records and closeout documentation according to company procedures
• Provide administrative support to Project Managers and construction teams as needed

Subcontractor & Vendor Coordination:

• Assist with subcontract preparation, purchase orders, change orders, and project correspondence
• Track required project documentation from subcontractors and vendors
• Monitor warranties, closeout documents, and other contractual requirements

Project Coordination:

• Prepare and distribute meeting minutes for project and coordination meetings
• Assist with submittal and shop drawing processes
• Maintain tracking logs and ensure timely routing of project documentation
• Support the preparation and management of Requests for Information (RFIs)
• Coordinate communication between project stakeholders to keep workflows moving efficiently

Billing & Financial Administration:

• Assist with monthly progress billings and payment applications
• Support month-end billing processes and documentation requirements
• Review billing information against project costs and budgets
• Work closely with project management and accounting teams to ensure accuracy and timely reporting
