Position Overview:
We are seeking a proactive and highly organized Executive Administrative Assistant to provide comprehensive support to senior leadership and assist in office administration. This role requires strong multitasking abilities, attention to detail, and the ability to handle confidential information with discretion. The Executive Administrative Assistant will report directly to the Chief Executive Officer and play a key role in ensuring smooth business operations.
Duties and Responsibilities:
- Executive Support – Manage calendars, schedule meetings, coordinate travel arrangements, and prepare executive-level correspondence for both the CEO and President.
- Office Administration – Oversee office supplie s, m aintain phone calls and assist with general office operations.
- Communication Management – Coordinate and manage correspondence on behalf of the CEO and President as they see fit.
- Document Preparation & Reporting – Draft reports and assist with data entry and record-keeping.
- Confidential Administrative Support – Handle sensitive information with discretion and maintain confidentiality in all interactions.
- Expense & Budget Tracking – Assist in managing executive expenses, processing expenses , and tracking budgets.
- Process Improvement – Identify and implement efficiencies in administrative workflows and office procedures.
Qualifications:
- Experience: 1+ years in an executive support, administrative, or office /schedule management role.
- Skills: Excellent organizational, communication, and problem-solving skills; ability to prioritize tasks and work independently.
- Technical Proficiency: Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint) and experienced with office technology.
- Professionalism: Strong interpersonal skills, reliability, and the ability to interact with executives, clients, and stakeholders in a professional manner.
