We are seeking a personable, polished, and highly organized Office & Client Experience Coordinator to support a busy residential real estate closing office. This role is ideal for someone who enjoys building relationships, creating exceptional client experiences, and keeping a fast-paced professional office running smoothly.

The Office & Client Experience Coordinator serves as a key point of contact for clients, real estate professionals, lenders, and other business partners. You will work closely with attorneys and the office team to coordinate daily operations, support residential real estate closings, and help strengthen relationships within the local real estate community.

What You'll Do

Client Experience & Relationship Building

  • Serve as a welcoming first point of contact for clients, visitors, real estate agents, lenders, and business partners.
  • Build and maintain positive professional relationships with Realtors, brokers, lenders, and other industry partners.
  • Provide a polished, concierge-level experience throughout the client and closing process.
  • Support business development efforts through outreach, follow-up, and relationship-building activities.
  • Represent the office at networking events, industry meetings, and community functions as appropriate.
  • Assist with marketing and social media initiatives highlighting closings, community involvement, and office activities.

Office Operations & Closing Support

  • Coordinate daily office activities to maintain an organized, professional, and client-ready environment.
  • Answer incoming calls and assist with client and business-partner inquiries.
  • Coordinate client communications, appointments, and closing logistics.
  • Partner with attorneys and paralegals to support closing preparation and scheduling.
  • Assist with assembling closing packages, organizing documents, and maintaining files.
  • Coordinate signatures, document delivery, and other closing-related activities.
  • Help ensure files and meeting spaces are prepared for upcoming closings.
  • Maintain office supplies and coordinate purchasing as needed.
  • Provide administrative support during high-volume periods and assist with special projects.

We're looking for someone who combines excellent customer service with strong organization and follow-through. You should enjoy meeting people, developing professional relationships, and taking ownership of the details that create a great client experience.

The right person will be comfortable managing multiple priorities while maintaining a warm, professional presence. You don't necessarily need extensive legal experience—we're especially interested in candidates with backgrounds in residential real estate, title services, mortgage lending, banking, professional services, hospitality, or other high-touch client environments.

Qualifications

  • High school diploma or equivalent required; Associate's or Bachelor's degree preferred.
  • Experience in a customer-facing, administrative, coordination, hospitality, or professional-services role.
  • Residential real estate, title, mortgage, legal, banking, or related industry experience is preferred.
  • Strong relationship-building and interpersonal skills.
  • Excellent verbal and written communication skills.
  • Strong organizational and time-management abilities.
  • Ability to manage multiple priorities in a fast-paced environment.
  • Proficiency with Microsoft Outlook, Word, and Excel.
  • Strong attention to detail and consistent follow-through.
  • Ability and willingness to learn new systems and processes.
  • Professional discretion when handling confidential or sensitive information.
