About the Role:
Provides comprehensive administrative and operational support to the Director of Facilities and coordinates day-to-day administrative functions of the Facilities Department. Serves as a central point of coordination and communication for departmental activities, priorities, vendors, documentation, purchasing, reporting, and other operational needs.
Responsibilities
Provides high-level administrative support to the Director of Facilities, including calendar and meeting coordination, correspondence, document preparation, presentations, reports, follow-up activities, and management of departmental priorities.
Coordinates administrative and operational activities for the Facilities Department and serves as a liaison with hospital departments, vendors, contractors, and other internal and external partners.
Coordinatespurchasing, purchase orders, invoices, departmental supplies, vendor documentation, and other financial or administrative processes.
Maintains departmental files, records, databases, schedules, regulatory documentation, contact information, and other required documentation.
Compiles, organizes, and maintains departmental reports, metrics, work order information, budget information, and other operational data as needed.
Supports departmental meetings, projects, inspections, regulatory activities, and operational initiatives, including tracking assignments, deadlines, and follow-up items.
Assists with employee administrative processes, departmental communications, scheduling, timekeeping, training records, and other workforce coordination activities.
Identifies opportunities to improve administrative processes, communication, organization, and departmental workflow.
Providesadditionaladministrative, project, and operational support to the Director of Facilities and Facilities Department as assigned.
Qualifications
Education:
High school diploma or equivalent required. Additional education or training in business administration, healthcare, facilities, or a related field preferred.
Experience:
Two or more years of administrative, coordinator, office management, or related experience preferred. Experience supporting a department or senior leader in a complex organization preferred. Ability to manage multiple responsibilities and deadlines. Problem-solving and critical-thinking skills. Problem-solving and critical-thinking skills
Pay Range: $20.06 to $31.59 Based On Experience
