Full-time - Salary
Pay Range: $60,000.00 - $65,000.00

JOB SUMMARY
The Business Office Manager's role is responsible for Accounts Receivable duties including processing resident move-ins, move-outs, resident billings, status changes, posting payments, bank deposits and rate changes in resident module. Accounts Payable duties including invoice entry, processing payments, expense reimbursements, credit card charges, maintaining vendor files, and 1099s. Human Resources duties include processing timesheet, onboarding and orientation, maintaining personnel electronic files. This position is delegated the responsibility for carrying the assigned duties and responsibilities in accordance with current existing federal and state regulations and established company policies and procedures.

POSITION OVERVIEW
· Work with the Executive Director and Marketing Department to ensure coordination of resident move-ins, move-outs, and day-to-day administration needs of the residents are met.
· Work with Reporting Accountant to ensure all financial information has been entered and accounted for appropriately to produce consistent and accurate financial reporting.
· Maintain Resident administrative files.
· Manage Concierge team.
· Assist Executive Director and Reporting Accountant in developing annual admin budgets.
· Pay pending invoices and make bank deposits.
· Manage new hire paperwork including monitoring proper documentation for I-9’s, drug tests, background checks, reference checks and ensure that all required forms are signed and filed in their proper places.
· Participate in new hire orientation to review the topics of HR & Payroll.
· Monitor employee benefits eligibility & submitting insurance & 401(k) applications.
· Pay taxes when required.
· Monitor employee vacation and sick hour balances.
· Run background checks, manage TB tests, and pre-employment exams.
· Work with Regional HR Manager to ensure compliance of COBRA, FMLA and other regulatory issues.
· Supply requested information to owner, CEO, CFO, Reporting Accountant, accounting firms, auditors, etc.
· Collect accounts receivable and prevent past due accounts.
· Prepare daily, weekly, monthly and annual reports and summaries as needed or requested.
· Work with third-party payers.
· Maintain professional confidentiality.
QUALIFICATIONS

· Education: Minimum high school diploma; associate or bachelor’s degree in business, accounting or related field preferred.
· Experience; Minimum 2 years bookkeeping, human resources, and/or office management experience.
· Job Knowledge: Typing and telephone skills, use of calculators, computers, copy machines, familiarity with chart of accounts, basic bookkeeping skills, payroll skills, tax reports, financial reports, government agencies that relate to finances (Department of Labor and IRS), and W-2, W-4, W-9 and 1099 Forms.
· Other: Work well with people including staff, residents and families, meet deadlines, organize and prioritize the workload. Positive attitude, compassion for the elderly and thoughtful conduct are important.
